Terms of Service

These terms govern your use of Stokee Inventory, provided by MASHED Software Solutions GmbH, Kasernstraße 30b, AT-8010 Graz, Austria ("we", "us").

Stokee Inventory is offered to businesses and self-employed people for use in the course of their business. It is not intended for consumers, and by signing up you confirm you are acting in a business capacity.

1. The service

Stokee Inventory is a web application for keeping a register of equipment your organisation owns and reuses: recording assets, their categories, locations and condition, printing QR labels, checking items out and back in, running stocktakes, and — if you choose to use it — reserving equipment against jobs and assigning crew.

We provide it as software as a service. We do not supply hardware, labels, scanners or consultancy unless separately agreed.

2. Accounts and organisations

To use the service you create an account and belong to an organisation. The organisation is our contracting party; individual users act on its behalf.

Whoever administers an organisation is responsible for who they invite, what role they grant, and for removing people who should no longer have access. Roles determine what a user can see and do, and we rely on the organisation to keep them accurate.

You are responsible for keeping your sign-in credentials secure and for activity carried out under your account. Tell us promptly if you believe an account has been compromised.

3. Plans, limits and prices

Every feature is available on every plan. Plans differ only in how much you may track, and no plan is charged per user — adding people to your organisation never increases the price.

  • Free — €0. Up to 100 assets, 3 users and 20 active or upcoming jobs.
  • Pro — €29 per month. Up to 1,000 assets, with unlimited users and jobs.
  • Enterprise — from €199 per month, agreed individually. Unlimited usage.
  • Locations are unlimited on every plan.

What happens at a limit

When your organisation reaches a limit, everything already in the account stays fully usable. You simply cannot add new items of the type that reached its limit until you upgrade or free up capacity. Nothing is hidden, locked or deleted.

A bulk import behaves the same way: it fills up to the remaining capacity and reports what it skipped.

Prices

Prices are in euro and exclusive of VAT, which is added where applicable. The Enterprise figure is a starting point for a quotation, not a fixed charge. We may change prices for future billing periods and will give you reasonable notice before we do.

4. Billing and cancellation

Paid plans are billed monthly in advance and renew automatically until cancelled. Payments are processed by Stripe; by subscribing you also accept Stripe’s terms for the payment itself.

You may cancel at any time. Cancellation takes effect at the end of the billing period you have already paid for — the plan stays active until then, and we do not refund part-months.

When a paid plan ends, the organisation returns to the Free plan. Your data is kept. If you are then over the Free limits, existing records remain fully usable and only new additions are blocked.

If payment fails, we may suspend a paid plan after notifying you and giving you a reasonable opportunity to fix it.

5. Your data

The content you put into Stokee Inventory — your asset records, locations, customers, jobs, photographs and everything else — remains yours. We claim no ownership of it and use it only to provide the service to you.

Where that content includes personal data, your organisation is the controller and we act as processor on your instructions. Our Privacy Policy describes what we process and who our processors are; a data processing agreement is available on request.

You are responsible for having the right to upload what you upload, and for not putting more personal data into the system than your inventory genuinely requires. This applies particularly to photographs and to files submitted to the AI import.

You can export your data while your account is active. On request when an account is closed, we will return or delete it.

The AI import

If you use the AI import, the contents of the file you upload are transmitted to Anthropic, PBC in the United States for processing. This happens at your instruction and only when you use that feature.

The AI interprets and cleans your file; it can misread a column or a value. Nothing is created until you review and confirm the proposed import, and a completed import can be undone as a batch. Reviewing the result before confirming is your responsibility.

6. Acceptable use

When using the service you agree not to:

  • break applicable law, or infringe anyone’s rights
  • upload malicious code, or attempt to gain access to data belonging to another organisation
  • probe, load-test or interfere with the service or its infrastructure without our written agreement
  • resell or provide the service to third parties as if it were your own, unless we have agreed that in writing
  • use the service to store data it is plainly not designed for, such as special categories of personal data under Art. 9 GDPR

7. Availability and support

We aim to keep the service available and to fix problems promptly, but we do not promise uninterrupted availability. Maintenance, third-party outages and circumstances outside our control can all interrupt it.

No service level agreement applies unless one has been agreed separately in writing, which is typically part of an Enterprise arrangement. Support for Free and Pro is by email to contact@stokee.net during Austrian business days.

8. Changes to the service

The product is actively developed: we add, change and occasionally retire features. We will not materially reduce the core functionality of a paid plan during a period you have paid for without telling you first.

We may change these terms — for example when the service or the law changes. We will give reasonable notice of material changes. If you do not accept them, you may cancel before they take effect.

9. Term and termination

The agreement runs for as long as your organisation has an account. Either side may terminate for convenience: you by cancelling and closing the account, us by giving reasonable notice.

We may suspend or terminate an account immediately if it is used in serious breach of these terms — for example unlawful use or an attempt to reach another organisation’s data.

After termination we delete or return your data on request, except where we must keep records by law, such as invoices.

10. Warranties and liability

The service is provided with reasonable skill and care, but not as error-free. Statutory warranty rights under Austrian law remain unaffected.

We are liable without limitation for damage caused intentionally or by gross negligence, and for injury to life, body or health. For slight negligence we are liable only for breach of an obligation essential to the contract, and then only up to the damage typically foreseeable for this kind of agreement — in any case limited to the fees paid by your organisation in the twelve months before the event.

We are not liable for loss of data where it results from you not keeping your own copies of anything you cannot afford to lose, nor for indirect or consequential loss such as lost profit.

Because these terms apply to business use, statutory consumer protections do not apply.

11. Confidentiality

Each side will keep the other’s non-public information confidential and use it only for the purposes of this agreement. This does not cover information that is already public, independently developed, or required to be disclosed by law.

12. Governing law and jurisdiction

Austrian law applies, excluding its conflict-of-law rules and the UN Convention on Contracts for the International Sale of Goods.

The competent court for Graz, Austria has exclusive jurisdiction over disputes arising from this agreement, so far as such an agreement on jurisdiction is permitted.
